Administrative Assistant
About the Role
We are looking for a highly organized, detail-oriented Administrative Assistant to join our ministry team. This role provides vital support to pastors and ministry staff through daily administrative tasks, scheduling, and special projects. The ideal candidate is professional, adaptable, and committed to serving in a ministry environment.
This is a full-time position with fixed pay and requires strong communication and organizational skills.
What You’ll Do
- Answer and route incoming calls with professionalism.
- Manage calendars, schedule appointments, and send reminders.
- Draft, proofread, and distribute correspondence, reports, and meeting notes.
- Maintain filing systems (digital and physical).
- Handle clerical tasks such as photocopying, scanning, mailing, and ordering supplies.
- Submit purchase orders and track ministry expenses.
- Enter and manage training or event details in Planning Center.
- Assist with event logistics, meeting prep, and team communication.
- Provide direct support to the Pastor and ministry staff, including special projects.
- Attend staff meetings, trainings, and weekly staff prayer.
What We’re Looking For (Requirements)
- Proficiency in office methods and tools (phones, scheduling, Microsoft Office/Google Suite).
- Strong command of English grammar, spelling, and communication skills.
- Ability to type, take notes, and transcribe accurately.
- High level of integrity, confidentiality, and professionalism.
- Strong relationship skills for working with staff, volunteers, vendors, and the public.
- Dependable, punctual, and flexible with assigned duties.
Preferred Qualifications
- Previous church, ministry, or nonprofit administrative experience.
- Familiarity with Planning Center Online or similar church management software.
- Event coordination or logistics background.
- Strong multitasking and time-management abilities.
- Basic accounting knowledge (purchase orders, expense tracking).
